1. How do I get PIM Pro to run faster?
The speed depends on a combination of factors such as the speed of your processor, the number of databases and records created, the number of PIM Pro modules and other applications open at the same time, and the system maintenance of periodically clearing temp files, recycle bins, caches, excessive cookies, and running Scandisk. The amount of speed required depends on one's level of comfort while running a computer. A faster processor, more RAM, and more memory in the VGA card is generally the solution to gain greater speed.
Routine Computer System Maintenance for Better Performance
Remove temporary files, cache directory files, and excessive cookies. Do a search to determine locations where temp (*.tmp) files may be stored. Possibilities are:
DOS directory
c:\windows\temp
c:\temp
Recycle Bin
Internet browser cache subdirectory (i.e. Netscape\users\services\cache subdirectory)
Windows\Cookies
Windows98: System Tools\Disk Cleanup will automatically scan for temp files.
Compact your PIM Pro databases
Run Scandisk routinely, generally found in Programs\Accessories\System Tools.
Some e-mail, PDA applications, or other dialup connections do not release the port so other applications can use the modem even though the application has been closed. This is also typical in less expensive modems and older modems. It can also be caused from a defect in the modem. Sometime with less expensive modems, you have to reboot windows to release the modem. Contact your modem manufacturer. In many cases, they have a patch on their website to download and correct the problem.
2. How do I save my data and where is it stored?
The following are locations that may have data stored to backup. Be sure to backup files and their subdirectory folders since many files have the same name, and the folders differentiate the databases.
c:\pimpro\contact\*.mdb files
c:\pimpro\business\*.mdb files
c:\pimpro\filecab\*.mdb files
c:\pimpro\planner.mdb
c:\pimpro\(user created).mdb
c:\pimpro\pictures\(saved images)
c:\windows\dcdialer.ini
3. How do I import a file from another contact manager?
For purposes of this example, we will use Symantec Act 3.0. Also, the source file and location with the exported Act 3.0 data will be 'c:\temp\act3.dbf', and the destination file and location will be 'c:\pimpro\contact\clients.mdb', which is located in the Contact Manager of the existing PIM Pro Manager Group named 'Clients'.
1. Open Sync Data.
2. Select 'Symantec Act 3.0' from the list of options and click the 'Next >>' button.
3. When the 'Symantec Act 3.0 Data Transfer' form appears, click the 'Browse' button and select 'c:\temp\data.dbf' and click the 'Next >>' button.
4. When the 'Select Manager Group' form appears, select the 'Clients' manager group from the drop-down list box. The 'c:\pimpro\contact\clients.mdb' should automatically appear in the filename text box. Click the 'Next >>' button.
5. When the 'Sync Data' form appears, from the menu select 'File/Sync Data'. When the 'Transfer' form appears, select 'Symantec Act 3.0' from the drop-down list box. Click the 'Start' button.
6. When the transfer is finished, click 'Close' and exit the 'Sync Data' form.
7. When the 'Finish Data Transfer' form appears, click 'Finish' to display the PIM Pro Manager.
8. Double-click 'Clients' under the Contact Manager to open the Contact Manager with the data.
4. What should I do if I get an error message?
These type of errors could be due to many different problems. If the errors start soon after installing new software, there could be a conflict or corrupt information in your registry. We suggest you obtain the free copy of 'regcln41.exe' (or the latest version) from Microsoft, which is intended to fix any registry problems, including corrupted and unused data.
5. When using the network, why can't I locate the Manager Group?
Be sure your network drive is mapped. Refer to the Windows help for Network mapping instructions.
6. How do I create a custom template to import my records?
For purposes of this example, we will transfer the data to the Contact Manager.
1. From the application that holds the records for transferring, export the records to a comma-delimited .txt (text) file. Select the option to include the field names if available. For the purpose of these instructions, the .txt file will be referred to as the "ABC.txt" file.
2. If you haven't already created a set of databases, open the PIM Manager. Create a new database to hold the records to be transferred. For the purpose of these instructions, name the new database 'custom'. (A database called custom.mdb will be created in (your drive):\pimpro\contact\custom.mdb, (your drive):\pimpro\business\custom.mdb, and (your drive):\pimpro\filecab\custom.mdb).
3. From the PIM Manager, open 'Sync Data Wizard' from the menu.
4. A custom template must be created. Click on the 'Custom' button
5. From the Sync Data menu, click 'File/Create Template'.
6. When the 'Transfer Direction' form appears, select the 'Import Data' option, then the 'OK' button.
7. When the 'Select Source File' dialog box appears, at the bottom (left side) select *.txt as the file type, then locate the text file with your data, press the 'OK' button.
8. When the 'Select Destination Tables' form appears, scroll down and select 'Contact Manager' (located near the bottom of the list) from the list box, press the 'OK' button.
9. When the 'Source Table Structure' form appears, check the 'Field names in first row' checkbox. Press the 'OK' button.
10. When the 'Table Relationships' form appears, under the 'Link Using Field(s)' title, click on the '...' button to display a list of the fields. Select 'UniqueID' from the list. Under the title 'Using Index', click on the list box and select 'PrimaryKey'. (If 'UniqueID' does not exist, select the field for the records full name or contact, and under the 'Using Index' heading, select 'Name'). Press the 'OK' button.
11. When the 'Confirm' message box appears asking to automatically link all fields, select 'No'.
12. When the 'Field Mapping' screen appears, on the right side of the screen, at the bottom, select the 'Modify' button.
13. When the 'Destination Table' appears, select the 'Change Path...' button in the upper left.
14. When the 'Select Destination File' dialog box appears, select the location of the '(your drive):\pimpro\contact\custom.mdb' which was created earlier, and press the 'OK' button.
15. When the 'Destination Tables' appears, press the 'OK' button.
16. From the 'Destination Table' form, select the 'Options...' button.
17. When the 'Configuration Options' table appears, at the bottom of the form, check the 'Ignore duplicate records' checkbox. Press the 'OK' button.
18. The 'Destination Table' form will still be on the screen, press the 'OK' button.
19. The 'Field Mapping' form should be the only form displayed.
20. From the left list box, click the (company name field), from the right list box, click 'Company', press the 'Link Fields' button.
21. From the left list box, click the (first name field), from the right list box, click 'FirstName', press the 'Link Fields' button.
22. From the left list box, click the (last name field), from the right list box, click 'LastName', press the 'Link Fields' button.
23. From the left list box, click the (address field), from the right list box, click 'Address', press the 'Link Fields' button.
24. From the left list box, click the (phone number field), from the right list box, click 'Phone Number', press the 'Link Fields' button.
25. From the left list box, click (fax number field), from the right list box, click 'Fax Number', press the 'Link Fields' button.
26. From the left list box, click the (city field), from the right list box, click 'City', press the 'Link Fields' button.
27. From the left list box, click the (state field), from the right list box, click 'State', press the 'Link Fields' button.
28. From the left list box, click (zip code field), from the right list box, click 'Zip', press the 'Link Fields' button.
29. Continue to create additional links if there are additional fields that need to be transferred.
30. The mapping is done. Save the mapping.
31. Go To 'File/Save Template'. When the 'Save SETUP1 As...' dialog box appears, select a name for the template, such as 'Custom Template'. (This name will be used for purposes of this discussion).
32. Now do the import. Press the 'Import' button and wait.
33. When the 'Transfer' form appears, make sure 'Custom Template' is selected in the drop down box.
34. Press the 'Start' button. When the transfer has completed, close all the forms.
35. The data has been transfered from the 'ABC.txt' to '(your drive):\pimpro\contact\custom.mdb'.
36. Go into the PIMPro Manager, under Contact Manager double-click on 'custom'. The Contact Manager will display the imported records.
Caution: Your 'Custom Template' is saved in a database called 'default.mdb' in the PIMPro folder. If for some reason you decide to create an update of PIMPro (downloaded from the Helpdesk), this default.mdb will be renamed to default1.mdb and a new default.mdb will be added to the DataCom folder. The reason for this is that we may add more templates as 3rd party programs become updated. If this occurs, your 'Custom Template' will now be in the 'default1.mdb' file.
To use your original template, rename 'default.mdb' to 'newdefault.mdb' and rename the 'default1.mdb' back to 'default.mdb', then run the transfer.
Importing records once a custom template has been created:
1. Run the 'Sync Data Wizard'.
2. Click on the 'Custom' button.
3. From the Sync Data menu, click 'File/Open Template'.
4. When the 'Open' form appears, select 'Custom Template' from the list, press the 'OK' button.
5. When the 'Custom Template' appears, click the 'Import' button.
6. When the 'Transfer' form appears, with 'Custom Template' appearing in the drop-down box, press the start button.
